Maintaining EQA
Annual EQA Renewal Date - May 1
The annual renewal date for EQA Designation is May 1 of each year.
Institutions which continue to meet EQA eligibility criteria and fulfill the annual requirements of renewal outlined below will be granted permission to continue their EQA Designation and their use of the EQA brand, on a yearly basis.
Requirements for Maintaining EQA Designation
In order to maintain EQA Designation without interruption after May 1 of each year, institutions will be required to submit the following before March 31:
- an Updated Institutional Profile Form,
- applicable EQA Annual Designation Fees (see Fees Section below for details)
Notification of EQA Renewal Date
- EQA staff will notify EQA-designated institutions of the Annual Renewal Date and Requirements in writing 60 days in advance of the May 1 EQA renewal date.
- Payment of the EQA Annual Designation Fee must be made on or before March 31 to ensure no interruption to an institution's EQA Designation after May 1 of each year.
If an institution’s annual fee is not received, or it is received but unable to be processed due to insufficient funds or other issues, EQA staff will contact the institution in writing to resolve the non-payment issue and advise that continued non-payment will result in an institution’s EQA Designation lapsing.
Institutions that allow their EQA Designation to lapse and want to reapply will have to pay the EQA Application Fee as well as the EQA Renewal Fee.
Applicable EQA Annual Designation Fees for Renewal
Public Post-Secondary Institutions
Sixty days before the annual EQA anniversary date of May 1 each year, public institutions will receive a notice in writing from EQA staff advising them that the annual Updated Institutional Profile Form is due by March 31.
Private Post-Secondary Institutions
Sixty days before the annual EQA anniversary date of May 1 each year, private institutions will receive a notice in writing from EQA staff advising them that the annual Updated Institutional Profile Form and EQA Designation Fee are due by March 31.
The annual EQA Designation Fee of $1500, if applicable (please see above information), is due on or before March 31 each year and is non-refundable.
Eligibility Issues Pertaining to EQA Renewal
If there are any concerns with the institution meeting the quality assurance standards of the applicable quality assurance body/bodies, the concerns and any issues affecting EQA Designation will be dealt at the time the concerns arise and will not be left for review during the annual renewal process.
